American College Of Surgeons - Inspiring Quality: Highest Standards, Better Outcomes

Opportunities and Resources

Holding a Virtual Meeting: Tips from the ACS Florida Chapter

  • Keep the meeting simple, and script it to the minute
    • Start and end the meeting with prerecorded sessions to stay on time
    • Prerecord sessions in PowerPoint; if the presentation is too long, remove a slide or two to easily edit to desired length
    • Limit the number of “live” sessions, and include them in the middle part of the meeting
  • Ask speakers and participants to use hardwired networks
    • Don’t use webcams, as they overburden the network and webinar platform
  • Practice with live speakers
    • Hold several one-hour practice sessions to mitigate problems with slides, network, and timing
  • Use a web platform you are comfortable with that offers
    • The option to load prerecorded sessions
    • A registration function
    • A post-webinar survey function where a survey is automatically sent out after the event
